Officer Descriptions

President

  • Have overall responsibility for the operation of the Panhellenic Association.
  • Call and preside at all regular and special meetings for the University of Pennsylvania Panhellenic Council.
  • Call and preside at all meetings of the Panhellenic Executive Board.
  • Report as required to the National Panhellenic Conference Area Advisor.
  • Maintain a complete and up to date President’s file which will include a copy of the current University of Pennsylvania Panhellenic Association Constitution, Bylaws and Standing Rules; the current Panhellenic Council budget; the current NPC Manual of Information and related materials, current correspondence and material received from her NPC Area Advisor; her copies of the College Panhellenic Reports to the Area Advisor and other pertinent materials.
  • Act as a liaison and representative of the Panhellenic Association to the University Community and to the University Administration especially regarding issues pertaining to the members of the Panhellenic Association.
  • Preside over the procedures for handing recruitment infractions outlined under “Handling Infractions of Recruitment Rules” and “Penalties for Infractions of Recruitment Rules” in the Unanimous Agreements of the National Panhellenic Conference as established in Article VI.
  • Communicate on a regular basis with IFC and MGC presidents.
  • Serve as the Council’s liaison to Undergraduate Assembly Steering.
  • Perform all other duties usually pertaining to this office, including attendance at all Panhellenic Council meetings

Executive Vice President

  • Act as a liaison and representative of the Panhellenic Association to the University Community when the President cannot fulfill her responsibilities or when the President deems it necessary.
  • Coordinate the Judicial Board process with the Panhellenic Advisor including all trainings and hearings.  She will preside over judicial hearings unless excused for conflict of interest.
  • Coordinate the elections process in conjunction with the President. 
  • Communicate on a regular basis with the Director of Alcohol and Other Drug Policies and the Director of the Office of Student Conduct.
  • Be the liaison to the Alcohol and Other Drug Task Force and the Faculty Student Advisory Board.
  • Serve as the Council’s liaison to Tangible Change.
  • Update the Constitution, the Bylaws, and the Judicial Board Bylaws of the University of Pennsylvania Panhellenic Association
  • Draft and monitor the implementation of the strategic plan.
  • Organize and coordinate officer transitions including Circle of Sisters.
  • Plan and execute the education of the Junior Panhellenic Council Representatives.
  • Preside over Panhellenic Council meetings in the absence of the President.
  • Perform all other duties coordinated with this office, including attendance at all Panhellenic Council meetings

Vice President Finance and Correspondence

  • Be responsible for the general supervision of the finances of the University of Pennsylvania Panhellenic Council including all receipts and disbursements. 
  • Prepare the annual budget for the fiscal year of her term.
  • Collect all dues from both individual chapters and from recruitment participants.
  • Maintain up to date financial records, give a financial report at each regular meeting of the Panhellenic Council and an annual report at the close of her term of office.
  • Provide monthly budgetary updates to president and advisor. 
  • Complete all required tax forms.
  • Keep current statistics concerning the number of initiated members and new members of each Panhellenic Association member fraternity.
  • Keep full minutes of all meetings of the University of Pennsylvania Panhellenic Association, the Panhellenic Council and a record of all action taken by the Executive Board.
  • Serve as the liaison between the Council and its delegates.
  • Mail copies of the Panhellenic Council Minutes and other pertinent information to the NPC Area Advisor.  Additionally the Vice President for Administration and Finance shall work with the Executive Board to file the annual NPC Area Advisor Report Form.
  • File the annual Northeast Greek Leadership Association Awards and NPC Award applications.  The Vice President for Administration and Finance shall coordinate the compilation of this petition among the Executive Board officers. 
  • Be responsible for the official correspondence of the Panhellenic Association unless provided for otherwise.
  • Perform all other duties usually pertaining to this office, including attendance at all Panhellenic Council meetings.

Vice President Public Relations

  • Coordinate all publicity for the Panhellenic Association including serving as a liaison to the DP and The Odyssey
  • Be responsible for publicizing Panhellenic Council meetings.
  • Be responsible for all publicity regarding Panhellenic recruitment including: the recruitment booklet, posters, advertisements and any other publicity deemed necessary by the Vice-President of Recruitment and Extension
  • Be responsible for the maintenance of the Panhellenic website and blog. 
  • Create, edit and distribute an electronic newsletter for Panhellenic women each semester.  (Panhel Press)
  • Coordinate the apparel orders for all other officers. 
  • Perform all other duties coordinated with this office, including attendance at all Panhellenic Council meetings

VP Service and Philanthropy

  • Organize and coordinate the annual Rena Rowan events including the 5K Ribbon Run. 
  • In conjunction with the president, coordinate fundraising efforts for Operation Warm. 
  • Work with the Executive Vice President to coordinate a spring fundraising event, with support and organization from the Junior Panhellenic, for one of the fall philanthropies. 
  • Organize, attend and preside over the service and philanthropy chair roundtables once each semester. 
  • Work in conjunction with VP for Risk Management to coordinate the social chair round table.
  • Perform all other duties usually pertaining to this office, including attendance at all Panhellenic Council meetings.

Vice President Programming

  • Coordinate a number of on-going community development programs, including but not limited to Greek Week/end. 
  • Coordinate the sophomore leadership program each fall semester.
  • Coordinate New Member Education Programming for new members to take place during the 6-week new member education process. 
  • Serve as a liaison to the chapter new member educators and hold a roundtable during the new member education process. 
  • Organize all senior recognition and support activities. 
  • Perform all other duties coordinated with this office, including attendance at all Panhellenic Council meetings

Vice President Risk Management

  • Organize, attend and preside over regular Social Chair Roundtable and Risk Manager Roundtable meetings.
  • Educate chapter social chairs and risk managers on university related policies. 
  • Manage the social events calendar
  • Ensure that all social events are in accordance with University policies
  • Coordinate the speaker series focusing on programming that encourages reduction of risks (alcohol, eating disorders, nutrition, drug use, sexual assault prevention, etc). 
  • Serve as the Council’s liaison to the Women’s Center. 
  • Perform all other duties coordinated with this office, including attendance at all Panhellenic Council meetings.

Vice President Recruitment

Vice President Recruitment for Recruitment and Extension: Due to the enormous responsibility and complexity of the duties assumed by the person in this position, this individual will serve a two-year term. She will be selected as Assistant Vice President for Recruitment and Extension through a special election held following recruitment and will automatically move into the position of Vice-President of Recruitment and Extension the following year.

  • Select and supervise Recruitment Guides coordination and a general recruitment assistant, if necessary.  The Vice President for Recruitment will select and supervise the recruitment guides and oversee the recruitment guide program.
  • Set dates and times for recruitment parties according to the formal recruitment period voted upon by the Panhellenic Council.
  • Coordinate all fall semester pre-recruitment events including Sorority Meet and Greet, Open Houses and Meet Your Rho Gamma. 
  • Coordinate recruitment registration, party invitations and make arrangements for bid matching.
  • Manage the recruitment database system.
  • Be responsible for any other recruitment or pre-recruitment activities.
  • Perform all other duties coordinated with this office, including attendance at all Panhellenic Council Meetings.
  • When membership numbers create a need for sorority extension, she shall serve as the Executive Board member steering the extension process.
  • Coordinate publicity with the Vice President for Public Relations. 

Panhel:

Overall, the Panhel officers work very closely on all projects and events.  You will have individual responsibilities, but you will also work as a part of a group.  For example, during Recruitment, the VPs Recruitment and the President will put in the most time, but there is a significant time requirement for all of the Panhel officers.  Also, you will work together to plan programs, you will participate in Regional conferences, and you will serve as representative of the University of Pennsylvania Greek Community, all as a unified board.
